APPLYING

Q: I have agreed on an exhibition with a foreign gallery. I intend to apply for a grant to cover transportation and insurance costs? Do I or the gallery apply?

A: An artist or an organisation can apply for a grant, agree among yourselves who is to apply.

Q: My exhibition abroad will open on 15 March and the next grant application deadline is 1 April - can I still apply for funding?

A: You can. However, please be aware that your application should arrive at FRAME before the opening date of your exhibition which, in your case, means 14 March at the latest. You will be notified of the decision only after the final submission date of 1 April.

Q: I am a member of an international artists' group that is holding an exhibition abroad. The workgroup also includes artists from Sweden and Denmark Can we apply for a grant as a workgroup, and for whose costs?

A: A Finnish visual artist who is a member of a multinational artists' group for a foreign exhibition applies for funding for his/her own transportation, printing and other costs or his/her share of them. When several Finns are participating in this kind of exhibition, it is worth making the application as a workgroup. Foreign artists' costs cannot be covered by FRAME funds. The nature of the multinational workgroup is to be explained in other enclosures regarding the project.

Q: My exhibition is touring two foreign galleries this year, do I make two applications?

A: We recommend that, where possible, you make a single application, in which you apply for the costs of both exhibitions. FRAME does not usually fund two different applications from the same applicant in the same year without special reason.

Q: Today (June), I have received confirmation that in September of next year I will have an exhibition in a gallery in Germany. When should I apply for a grant to cover the costs?

A: Suitable application times are, e.g. April or August of next year, the choice depending on your own situation and your exhibition. If the exhibition involves exceptionally extensive arrangements or if it is quite a large group exhibition, and so on, then it is worth mentioning these aspects to FRAME, which may suggest an earlier application.

Q: Why are three offers for transportation or printing costs required?

A: The offers are needed to verify the costs. The amount derives from Finnish State practice, in which the minimum number is 3. The money handed out by FRAME Finnish Fund for Art Exchange in grants comes from the Ministry of Education, so we have to oversee the appropriateness and level of costs of the use of grants carefully.

Q: Which firms is it worth asking about transportation costs?

A: FRAME grants funds for transportation costs, and if we were to suggest transport companies, in the name of fairness, we would have to be able to name every possible one. This being the case, we recommend that inquirers contact other artists or organisations, or that they look for suitable transport companies, for instance, in printed or electronic phone catalogues or company directories.

Q: Can I apply for a grant for a catalogue which also has Finnish texts along with other languages?

A: Yes.

Q: Can I also ask foreign companies for printing offers?

A: Yes, and the same goes for the other offers.

Q: Does a compulsory enclosure mean that, e.g., an insurance offer ALWAYS have to be requested and enclosed with the application?

A: Only if the grant is being applied for to cover these specific costs, i.e. if you are applying for funding for insurance costs, you must enclose an insurance offer with your application.

Q: I want to transport my works myself in my car/with me on a flight, is that OK?

A: The application has to be accompanied by three transportation offers. One of these offers can be a personally written transportation offer, in this case, a calculation of, e.g. transportation in your own car or of the cheapest flight, with you transporting the works as your personal baggage. Two other offers are to be obtained from companies offering transportation services (actual transportation companies, couriers, and other forms transportation, mail, and so on.)

Q: Our organisation has a transportation agreement with firm Y, and they handle all our transportation, do we have to enclose other transportation offers with the application?

A: Yes, to verify the costs.

Q: Will FRAME return enclosures sent with an application later?

A: Enclosures sent with an application will be returned only if the applicant has included an envelope with sufficient postage stamps for the return along with the application.

 

AFTER THE DECISION

Q: I just got to know that
- my exhibition, which was due to open in London in three months' time, is being delayed by 6 months
- the exhibition venue is being switched from Gallery A to Gallery Y
- the production of my exhibition catalogue is delayed by at least a couple of months
- I have been given an important exhibition opportunity at the very important Gallery Y, and I would like to change the use of the grant I received to make the catalogue for this Gallery Y exhibition, instead of for the intended Gallery X. Is that possible?

A: Contact FRAME, e.g. by e-mail, explain the situation and submit a written request to change the use of the grant/for extra time to use the grant.

Q: I just got to know that my exhibition

- is cancelled
- is being delayed by over a year/ being delayed by a
year and there is no fixed date for it

A: Contact FRAME. if the exhibition is cancelled, the grant should be returned, you can get more detailed instructions from FRAME. If the exhibition is delayed substantially, you will have to agree with FRAME on how to proceed, e.g. the grant can be returned and, when the new exhibition date is confirmed, you apply for a grant with the new details and costs.

ACCOUNTING FOR THE GRANT

Q: My exhibition, for which I have received transportation funds from FRAME, ended 1½ months ago, but my works have not yet begun to be transported back to Finland. I will not be able to account for the grant within the required 2 months, since I have yet to receive the transport company's bill. What do I do?

A: Contact FRAME, e.g. by e-mail, explain the situation and ask for more time to account for the grant.

Q: What will happen if the grant is not accounted for?

A: Have you seen The Godfather?

Q: Ha ha, but what will actually happen?

A: The Board of the Finnish Art Academy Foundation has come to the decision that, if the grant is not accounted for, despite repeated requests, this will lead to a claim for recovery of the grant via a debt collection agency. In this case, the collection costs will also be borne by the grant recipient.
